University Center & Conference Services (UCCS) Business Manager


Job Summary

The Business Manager, University Center & Conference Services, provides support to the Office of University Center & Conference Services, with assigned duties related to billing, scheduling, publications preparation and Web processes, and program assessment.  The incumbent acts as facility manager of Button Auditorium and is responsible for the notification of maintenance needs of facility equipment, appliances, and cleaning to the appropriate campus departments.  The Business Manager serves on University committees and undertakes other duties and responsibilities as assigned by the Director of University Center & Conference Services and upline supervisors.

Duties and Responsibilities

Essential

  • Invoices billing and prepares account management functions for the Office of University Center & Conference Services.
  • Verifies accounts payable and accounts receivable for purchases related to University Center & Conference Services.
  • Prepares publications for Office of University Center & Conference Services.
  • Prepares and maintains Web-related processes.
  • Assists with University Center & Conference Services functions.
  • Prepares daily, monthly, and annual income reports for services of University Center & Conference Services.
  • Serves as the first point of contact for the coordination of meetings, workshops and special events in Button Auditorium and Drill Room.
  • Maintains campus calendar for Button Auditroum and Drill Room.
  • Negotiates rates and contracts for Button Auditorium and Drill Room.
  • Coordinates with Aramark Food Services, Office of Physical Plant and the University Police Department in planning special events and meetings.
  • Serves as the liaison between all scheduling groups to promote university facility usage, to ensure the safety and well-being of participants and ensure full participation.
  • Supervises technical setup for activities scheduled in Button Auditorium.
  • Supervises three student managers in Button Auditorium and Drill Room.
  • Oversees the daily maintenance and custodial needs of Button Auditorium.
  • Responsible for tracking budget expenditures for office.
  • Ensures that Button Auditorium facility is properly prepared for the next scheduled usage.
  • Prepares confirmation notifications in a timely manner.
  • Maintains accounting records and processes standard forms related to office expenditures, e.f. budget transfers, on-campus transactions, on-line purchase requisitions, check requests, travel request and vouchers for agency accounts related to conferences, workshops, camps and special events.
  • Receives and responds to cash deposits and issuing receipts for agency accounts in accordance with university policies.
  • Maintains proper bookkeeping records for agency accounts.

Other

  • Participates on University committees as appointed.
  • Attends professional organizational meetings as budgets permit.
  • Performs other duties as assigned by supervisor.

Organizational Relationships

The University Center and Conference Services Business Manager reports to the Director of University Center & Conference Services.  This position supervises the work of custodial staff for the set up and maintenance of the Button Auditorium and Drill Room.  Supervises three student managers.  The incumbent interacts with students, faculty, staff, parents, and community members.

Minimum Requirements

Bachelor's degree in business or related field required.  Two years' experience in accounting, computer, or related field. Experience in working with students in higher education must be demonstrated.  Excellent written and verbal communication skills.

Additional Desirable Qualifications

General public relations knowledge and customer service skills.

Working Conditions and Atmosphere

Routine office environment and frequent interruptions.  Work is often performed under pressure.  Many projects are handled simultaneously.  Extended work hours are necessary when events are scheduled in Button Auditorium or Drill Room.
