Receivables Manager

Job Summary

The Receivables Manager is primarily responsible for supervising the accounts receivable function of the university by utilizing the University's computer based financial accounting and reporting system. This position is responsible for providing good relations with students while safeguarding the assets of the University when billing and collecting student accounts. This position controls all aspects of student credit and collections policies and procedures.

Duties and Responsibilities

Essential

  • Interacts with Deans, Directors, and Vice-Presidents to formulate the fiscal aspects of University policies that affect student accounts.
  • Coordinates billing and collection of all student revenue for the University.
  • Monitors and updates the billing and collection policies of the University to ensure compliance with federal, state, and/or University regulations.
  • Works with other institutions of higher education to coordinate, develop, and implement plans of fiscal procedures for academic programs that are joint ventures with other institutions.
  • Insures compliance with government, state, and institutional regulations for all student accounts relating to foreign embassies, state sponsored programs, and other agencies.
  • Initiates bid proposals for selecting and awarding outside agencies with contracts that affect student receivables accounts.
  • Assists in financial statement preparations and analysis for interim year-end statements. 
  • Supervises Accounting Assistant.
  • Supervises Assistant Receivables Manager.
  • Supervises Student Account Specialist.
  • Maintains billing e-mail correspondence from students.

Other

  • Controls the accounts receivables module of the financial software.
  • Performs fee analysis and verification and determines accuracy in accordance with University fee schedule.
  • Resolves receivables questions and disputes with students, faculty, staff, and parents through personal and written contact.
  • Oversee the collection of non-sufficient funds checks and determines placement with collection agencies.
  • Represents the University in court proceedings concerning student accounts.
  • Coordinates electronic financial aid transfer and reallocation with the Office of Financial Aid.
  • Updates and maintains various publications, and publishes a brochure concerning fees and fee payments.
  • Performs other job related duties as assigned by supervisor.

Organizational Relationships

The Receivables Manager reports to the Assistant Director of Accounting and Financial Services for Student Services. This position interacts with students, faculty, staff, auditors, and government agencies. The Assistant Receivables Manager, Student Account Specialist, and the Accounting Assistant report to the Receivables Manager.

Minimum Requirements

A Bachelor's degree in Accounting or Business Administration with a minimum of two years experience in a professional accounting or similar position.  Knowledge of modern, computerized accounting or receivables systems and hands-on experience in such an environment is essential.

Credit and collection experience. Excellent written and verbal communication skills. Ability to quickly assess information. Ability to work flexible hours. Supervisory experience. Ability to perform assigned duties and responsibilities accurately and efficiently with minimum supervision.

Working Conditions and Atmosphere

Typical business office environment with regular interruptions from students and staff requiring assistance. This position will involve the stress of rush periods and deadline.
